Abstract

Academic conference management systems manage the submissions, authors, and reviewers, they still lack an essential feature in automatically creating a conference website that is publicly viewable. Due to this limitation, conference organizers have to build these websites themselves, which is extremely time consuming and requires some technical skills. An intelligent conference management system was thus developed that, while setting up a new conference, would create a comprehensive, dynamic conference website instantly. Each conference will have a unique URL where all its details can be rapidly and dynamically displayed. Organizers can easily update the content on the website and add more pages without requiring any technical expertise. An instant messaging service, sending alerts and conventional notifications, was also made a part of this system to make the notification to authors and reviewers timely during the conference cycle. This paper presents a more automated, accessible, and user-friendly approach to conference management, which streamlined the workflow for organizers by improving communication efficiency, demonstrating the practicality of event administration automation, and is most likely to increase the accessibility and reduce the manual workload of conference organizers while offering seamless experiences to all stakeholders.
