A roadmap for using SharePoint to enhance organisation and management functions: Case study of a healthcare organisation

Abstract

Healthcare administration in Saudi Arabia and worldwide involves a number of operational processes on a day-to-day basis that have direct implications for decision-making and overall performance of an organisation. Organisation and Management (O&M) functions, which include directing and managing policies and organisational structure activities, can be enhanced by implementing a solution that combines Enterprise Content Management (ECM) and collaboration functionalities, specifically, to maintain documents, process routines and produce performance reports. knowing that utilising the feasible IT products is important for the organisation in the current economy context. To provide an empirical roadmap for utilising Microsoft SharePoint not only as a collaboration tool but also as an ECM solution in a Saudi healthcare organisation. Data were collected from multiple sources, including an online survey and phone interviews, as a preliminary phase. A solution based on Microsoft SharePoint was then used to demonstrate O&M activities, relationships and performance. A roadmap was proposed to utilise the available features of Microsoft SharePoint. The case study focused on three major features: (1) Document Management, (2) Microsoft SharePoint Workflow and (3) Business Intelligence (Status Indicator KPIs list and Dashboards). Microsoft SharePoint, which is known mainly as a tool for collaboration and sharing, can be used as an ECM system to provide an opportunity to enhance daily activities and to promote the administrative functions to some extent. Yet in the current case study, the solution based on Microsoft SharePoint needs further research in the application of quantitative and qualitative measures.
